The 7-Point Quality Checklist for Custom Packaging: From Spec to Delivery

Who This Checklist Is For

You're buying custom packaging—recyclable bags, printed plastic roll film, kraft paper pouches, maybe pet food bags or stand-up pouches. You've got specs, a budget, and a deadline. But you're not sure what to check when the shipment arrives—or worse, you think you know and end up rejecting half the batch.

I review packaging orders for a living—roughly 350 unique items annually. I've rejected about 12% of first deliveries in 2024 due to spec mismatches, mostly avoidable. Here's the checklist I actually use, not the textbook version.

Seven steps. No fluff.

Step 1: Verify Substrate Before You Unpack

This sounds obvious, but I've seen whole batches unpacked before anyone checked the material. The first thing I do: cut a small square from a random unit and compare it to the approved sample or spec sheet.

I run a blind test sometimes: cut 10 samples from different parts of the roll, lay them side by side, and see if any stand out. If 2 out of 10 look different, the batch fails.

I sample from the first, middle, and last production units—meaning the physical start and end of the run. Color can drift, registration can shift, and material thickness can vary as the roll winds down. We had a batch where the first 10,000 units were perfect, and the last 5,000 had a 2mm registration drift. The printer said it was 'within tolerance.' I said it wasn't consistent. We negotiated a partial redo.

Checkpoint: Sample from beginning, middle, and end of the production run. Compare all three side by side. Any visible difference = fail.

Step 6: Certifications and Compliance—Don't Assume

For recycled or recyclable claims, the FTC Green Guides (ftc.gov) require that 'recyclable' claims are substantiated. I use a shared spreadsheet with: date, order number, vendor, product type, dimensions measured, material thickness, seal test results, sample photo link. Takes 20 minutes per batch. Saves days of back-and-forth when a problem arises.

Checkpoint: Have a documentation system before the order arrives. If you're scrambling to find records when a shipment shows up, you're already behind.

Common Mistakes and What I've Learned

Mistake 1: Trusting the vendor's QC report. I used to. Now I run my own tests on a random sample. Not because vendors are dishonest—but because their QC thresholds might not match yours.
